Job Description:

SHINE is immediately seeking a Procurement Administrative Support Specialist to provide support to the Procurement team with complex transaction activities (equipment, construction, services and subcontracts) expediting and driving procurement administration, vendor relationships and communication, and proposal development

This position ensures timely acquisitions of products or services from known vendors. The Procurement Administrative Support Specialist will support the varied daily activities to allow for more efficiency and better output at the direction of the Procurement Manager or Procurement Engineers.

Duties and Responsibilities:

Specific duties and responsibilities include, but are not limited to:

  • Assist in the evaluation process through the distribution of quotations, preparation of the commercial portion of the bid tabulation, and collaboration with engineering and construction regarding the technical and constructability evaluations.
  • Issue purchase orders and agreements that accurately reflect price, schedule, terms and conditions as negotiated.
  • Facilitate resolution of issues by arranging and participating in conferences between vendors and company personnel.
  • Able to resolve simple claim or dispute events with vendors. May be responsible for soliciting budgetary pricing for equipment, material, or labor to support estimating/proposal efforts for a non-major project or projects
  • Establish effective communications, good relations, and positive images with vendors, promoting courtesy, objectivity, and fairness.
  • Manage various contract correspondence with vendors and the contract lifecycle post negotiation.
  • Act as a liaison for Procurement with Supply Chain, Accounts Payable, and Operations to resolve invoice or other discrepancies and help drive project forward.
  • Scheduling and general support for meetings and follow-up actions.
  • File appropriate record documents and follows Corporate and project filing rules.
  • May provide input to portions of new and/or revised procedures or documents. Individual contributor with no subordinates.
  • Track and report on the progress of purchases and related contracts
    Qualifications:
    • A minimum of five (5) years of related work experience is preferred>
    • Knowledge of the Windows operating system and Microsoft Office products
    • Ability to work in a team environment and to take directions as well as think independently
    • Organizational skills and attention to detail are a must
    • A self-starter with the ability to multi-task in a fast-paced environment
    • Shipping knowledge/experience is a desirable but not required
