Job Description:
This position is primarily responsible for administrative
support functions to the Program Manager/ Managed Services.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following:
* Coordinating customers service requirements with Program Manager
Managed Services and Technical Service Manager and or other
departments as necessary to ensure effective customer service.
* Maintenance Services invoicing, weekly and monthly manage Monthly
closes for Maintenance Team
* Maintenance scheduling coordination
* Training coordination
* Job pack preparation for invoicing- Work orders and Purchase
Orders, etc.
* Set up in accounting system Authorized Service Contractors
* Maintenance agreement/ contract tracking- Authorized Service
Contractors agreement and customer contact
* Tracking maintenance certifications
* Review Maintenance team hours and reconciliation
* Customer Service administrative/clerical help/data reports
SKILLS AND SPECIFICATIONS
* Ability to present information in a way that reflects positively
upon the organization
* Intermediate skills in Microsoft Office Suite
* Experience in Database Administration
* Self-Starter
* Ability to working calmly in a fast-paced environment and adapt
to change
* Strong oral and written communication skills
* Exceptional listening skills such that effective use of
information that is "heard" is fully leveraged.
* Strong decision-making ability and close attention to detail
* Professional demeanor
BUSINESS RELATED CONTACTS:
This position interacts with customers on a daily basis and works
collaboratively with customer service technicians, engineers,
vendors, buyers and accountants to ensure customer needs are met
promptly and accurately.
QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:
5-7 years related experience and/or training
LANGUAGE SKILLS:
Ability to read, analyze, and interpret common scientific and
technical journals, financial reports, and legal documents. Ability
to respond to common inquiries or complaints from customers,
regulatory agencies, or members of the business community. Ability
to write speeches and articles for publication that conform to
prescribed style and format. Ability to effectively present
information to top management, public groups, and/or boards of
directors.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts,
interest, commissions, proportions, percentages, area,
circumference, and volume. Ability to apply concepts of basic
algebra and geometry.
REASONING ABILITY:
Ability to apply common sense understanding to carry out
instructions furnished in written, oral, or diagram form. Ability
to deal with problems involving several concrete variables in
standardized situations.
COMPUTER SKILLS:
To perform this job successfully, an individual should have
advanced knowledge of Microsoft Office Software. Should have
knowledge and experience in Internet Software, Inventory Software,
& Manufacturing Software. Knowledge of Microsoft Dynamics AX is a
plus.
